Special Registration for Authors/Presenters
All authors at the 42nd Conference of Metallurgists Meeting must register as delegates. The registration fee
for authors and presenters is $700 CDN (tax included, prices subject to change) on or before June 30, 2003 and $800
CDN after June 30, 2003. This price includes admission to all technical sessions, the Sunday opening reception, all
coffee breaks (Monday/Tuesday/Wednesday in the mornings and afternoons), the Tuesday MetSoc
Technical Section luncheon meetings and the Awards Banquet on Tuesday evening. Presenters will also receive complimentary
breakfast on the day of their presentation. When registering, authors should select the "Authors" Conference Fee
(selection C). A registration form is enclosed for your convenience.
Quality of the Technical Program
The quality of the technical program in any meeting is largely in the hands of the authors, particularly of the presenters.
In order to make the best possible use of the time allotted to your paper, the following suggestions are made to assist you
in your preparation.
Timing of Presentations
Generally, a 25-minute time period is allocated to each paper. This includes the time required for the introduction of
the speaker and questions from the audience. Accordingly, the actual presentation by the speaker should allow 5 minutes
at the end for questions. Please plan to limit your presentation to 20 minutes of presentation time.
What to Concentrate on in your Presentation
It is usually not possible to cover all the material in a paper during a 20-minute oral presentation. Therefore, each
speaker should concentrate on the highlights. Experience indicates that ten double-spaced pages of text, each containing
about 250 words, and ten slides takes about 25 minutes of presentation time for the average unhurried speaker.
It is important, particularly for presenters whose primary language is not English, to time themselves in a trial
run of their presentation, and adjust the presentation as needed to ensure a timely completion of the paper at the
Conference.
Presentation Previewing Room
Computers, slide carousels, and projectors (caramate systems) will be available for previewing presentations from 12:00 to
20:00 on Sunday, and from 7:00 to 18:00 Monday through Wednesday in the Presentation Previewing Room (Junior Ballroom A & B) at
the Sheraton Vancouver Wall Centre Hotel. If speakers are using 35 mm slides, they are responsible for loading their own
slides into trays in the correct order and viewing position and delivering them to the projectionist at the start of the
session in which their paper will be presented.
Audio-Visual Equipment
Both computers and overhead transparency projectors will be provided for all sessions. The conference computer system
will be equipped with Microsoft PowerPoint and Windows Media Player for showing standard presentation images and animation
sequences. Although every session room will have a projectionist on-hand to operate the audio-visual (AV) equipment,
presenters wishing to use the computer projection facilities must have "back-up" slides or overheads in case of technical
difficulties. Furthermore, presenters must ensure that their computer presentation files are loaded onto the conference's
computer system well in advance of the start of their session, as laptop hook-ups will not be permitted. Prior to August
7th, 2003, presentation files can be uploaded to the COM 2003 website (http://www.metsoc.org/conferences/com2003/default.asp); otherwise, presenters must give their presentation files (i.e. on CD-ROM, zip disk, or floppy disk) to AV personnel at the speaker's breakfast on the day of their presentation.
Suggested Format for Slides/Overhead Sheets
Slides or overhead sheets are a most valuable tool in oral presentations. A good correspondence between the content of the slides and the speech will help the speaker to make a good, fluid presentation. The use of notes on small cards, listing important items, is a useful complement.
Slides and overheads should be simple and uncluttered, containing no more than 20 to 25 words and focusing on one idea. As a simple test: hold your slide at arms length, if you can read the words, then the letter size is large enough; for overheads, place it on the floor at your feet, you should be able to read it from a standing position. Generous spacing between lines makes it easier to read. The use of colour is encouraged. A dark-coloured background helps to highlight illustrations. Analytical and mathematical data should be presented as charts or graphs, show trends rather than details. Tables should be used only when necessary and should contain a minimum number of items. Titles should be used to supplement, not duplicate, slide data.
If a speaker needs to refer several times to the same slide during the presentation, a duplicate of that slide is advised. It is impractical to search for and reshow slides.
Slides should be clearly identified and numbered in the order of presentation. The numbers should preferably go in the upper right hand corner of the slides when they are placed in the slide tray in the viewing position.
Biographical Profile of Presenters
The presenters of each paper are requested to provide a brief (up to 100 words) biographical profile of the presenter to the session chairman. At the latest, this should be done at the presenter's breakfast on the morning of the presentation. It is advised that you fax or e-mail your biography in advance to the session chairman if possible.
Presenter's Breakfast: Meet with your Session Chairman
Each morning, during the three days of the conference, there will be a complimentary breakfast meeting at 7:00 at the Sheraton Vancouver Wall Centre Hotel for the presenters and session chairmen for that day.

It is CRITICAL that all presenters attend the breakfast meeting on the day of their presentation. This will allow presenters to meet their session chairman, to receive additional instructions for the presentation of papers, and to submit their computer projection presentation files to AV personnel (if applicable).
Accommodations
The conference hotel is the Sheraton Vancouver Wall Centre Hotel. All reservations are on a first-come first-served basis. All reservations must be made through the conference registration form.
